App Vault User Guide
The App Vault feature allows organizations to provision the desktops in their Tehama Rooms with applications, in cases where the Room restricts access to the internet. Each Room in Tehama has its own App Vault.1 The App Vault provides a way to securely transfer application installation files to the Room's desktops.

You can opt to enable the feature during the Room creation process, or by contacting Tehama Support for assistance, or you may enable this feature through the Room Settings interface. Files, typically large application installation files, with size (unzipped) smaller than 4G, can be uploaded into the App Vault in a Room and managed by the Org Admin users, Org Managers and Room Managers (who are members of the Room) of the Room's owner organization through the App Vault interface in the Tehama Web UI.
Uploaded files can be accessed by Room members through a mapped drive in their desktops.
In Windows-based desktops, the mapped drive is T:\
In Linux-based desktops, the mapped drive is /mnt/tehama
Each file will automatically be scanned for malicious content after being uploaded. While a file is being scanned, the file shows up in the App Vault's list of files with status Pending.
Zipped Files: Zipped and similarly compressed files are decompressed for the malware scan that occurs as part of the upload process. The maximum size of a file that will be scanned automatically, in its unzipped state, is less than 4GB. To have uploaded files with size 4GB or larger scanned automatically, archive the file in a volume set. Set the spanned archive size to 1GB. If no malicious content was found in an uploaded file, its status field will be set to Scanned.
If malicious content was found in an uploaded file, its status field will be set to Malicious. The virus scanner zeroes out the content of a file with status 'malicious', for safety, inserting instead some metadata explaining the reason the original file content was considered malicious. The user may download this altered version of the file from a Desktop. To remove a malicious file from the App Vault, delete it.
Typical App Vault usage scenario for an organization Org Admin user or Org/Room Manager:

Your organization has a Tehama Room with several desktops. This Room restricts its desktops access to the internet. The user of one of the desktops has a work requirement for a particular application to be installed on their desktop. You locate the installation files for that application and put them in your local environment.
- Access the App Vault for your Room from the Tehama Web UI in your local environment. From here you can view the list of uploaded files and their size, status and the time they were last modified.
- Upload the application installation files to the Room's App Vault from your local environment.
- Alert the user that the application installation files are ready for them to download and install on their desktop.
Typical App Vault usage scenario for user assigned to a desktop in a Tehama Room:

You require a particular application to be installed on your desktop to perform your work. Your organization Org Admin user, or Org/Room Manager, has uploaded the installation files for the application into your desktop's Room's App Vault and let you know the files are ready for you to download and install.
- Connect to your desktop.
- Navigate to the mapped drive for the App Vault (T:\ for Windows and /mnt/tehama for Linux).
- Download the installation files to your desktop.
- Use the installation files to install the application on your desktop.
Access App Vault from Tehama Web UI
The Org Admin users and Org Managers and Room Managers (who are members of the Room) of a Room's owner organization (owner+connected or user+owner) can access the Room's App Vault to view and manage files. Check the description of your custom role, to see if you can perform this action.
To access the App Vault from the Tehama Web UI:
- Log in to the Tehama Web UI.
- Click on the ROOMS tab.
- Click on the name of the Room you want to access the App Vault in. You will see the user interface for the Room.
- Click on the Room's CONFIGURE tab.
- Select the APP VAULT sidebar item. This is the landing page for the App Vault from the Tehama Web UI.
The list in the App Vault page displays all uploaded files.
To perform an action, (for example, delete), on a file, first select the entry for the file, then click on the action.
To select the entry for a file, click anywhere in the entry. (You can also select a file by selecting the checkbox to the left of the file's entry.) The actions available for the selected entry will be displayed at the top of the table.
Upload a File
The Org Admin users and Org Managers and Room Managers (who are members of the Room) of a Room's owner organization (owner+connected or user+owner) can upload files into the Room's App Vault. Check the description of your custom role, to see if you can perform this action.
To upload a file in the App Vault from the Tehama Web UI:
- Log in to the Tehama Web UI.
- Click on the ROOMS tab.
- Click on the name of the Room you want to access the App Vault in. You will see the user interface for the Room.
- Click on the Room's CONFIGURE tab.
- Select the APP VAULT sidebar item. This is the landing page for the App Vault from the Tehama Web UI.
- Click UPLOAD. The file selection dialog for your local environment will appear.
- Select the file you want to upload.
- Click Open. A progress bar for the new file will appear above the App Vault list.
Drag and drop: Instead of clicking UPLOAD and selecting the file to upload, you can use drag-and-drop to upload a file. To upload a file into the App Vault, do the following - with your mouse (or touchscreen equivalent) click down with the left mouse button on the file you want to upload in your local environment and drag it onto the UPLOAD button or a file row on the App Vault page or - if there are no files currently in the page - drag it onto the words "Drag and drop here to upload files". Drop the file by releasing the mouse button. The progress bar for the new file will appear above the App Vault list. - When the file has finished uploading, a new entry for the file with its status field set to Pending will appear in the App Vault list while the file is automatically scanned for malware. Only files with an unzipped size smaller than 4GB will be automatically scanned for malware during the upload process. Files 4GB or larger may be uploaded without being scanned if you agree - a modal window will be presented to you to make that choice. (See the note above about Zipped Files.) The pending icon will remain while the malware scan is ongoing.
- Once the malware scan is completed:
- If no malicious content was found in the file during the upload, its status field will be set to Scanned.
- If malicious content was found in the file during the upload, its status field will be set to Malicious, and the file content will be replaced with metadata that explains the reason the original file content was considered to be malicious.
Download a File
All members of a Room that have been assigned to a Desktop template in the Room can download files from the App Vault onto their instance of the Desktop template (possibly a shared instance).
To download a file onto your desktop:
- Connect to your desktop.
- Open your Desktop's file system manager (File Explorer on Windows, Dolphin on Linux).
- Navigate to the mapped drive for the App Vault - T:\ for Windows and /mnt/tehama for Linux.*
- Find the entry for the file in the list of files in the mapped drive.
- Select and copy the file into your desktop's file system, for example into your Downloads folder.
- Check your "Downloads" folder for the file.
* If your organization is participating in the Tehama Tools rollout, see the note below for an alternative way to access the mapped drive.
Access to the App Vault through Tehama Tools
Certain organizations may be selected to participate in the rollout of a new Tehama feature called Tehama Tools. Users of Desktops in these organizations will see a shortcut on their Desktops for a new application called 'Tehama Tools' that is part of the Tehama Tools feature. This application is a container within which Tehama places tools to make the Desktop user's life easier. App Vault is one of the tools that can be accessed from within Tehama Tools.
If your Desktop belongs to one of the organizations participating in the rollout of Tehama Tools, you may open the App Vault from within the ‘Tehama Tools' application. Find App Vault in the apps list, then click on its Open button to bring up the contents of the drive in your Desktop’s file manager (File Explorer on Windows, Dolphin on Linux).

Delete a File
The Org Admin users and Org Managers and Room Managers (who are members of the Room) of a Room's owner organization (owner+connected or user+owner) can delete files from the Room's App Vault. Check the description of your custom role, to see if you can perform this action.
To delete an App Vault file from the Tehama Web UI:
- Log in to the Tehama Web UI.
- Click on the ROOMS tab.
- Click on the name of the Room you want to access the App Vault in. You will see the user interface for the Room.
- Click on the Room's CONFIGURE tab.
- Select the APP VAULT sidebar item. This is the landing page for the App Vault from the Tehama Web UI.
- Find the entry for the file in the App Vault list.
- Select the entry for a file as follows:
- Click anywhere in the entry; or
- Select the checkbox to the left of the file's entry.
Note: It is possible to select more than one file at a time. The actions that you select will be performed on all the selected files. - Click on REMOVE. The DELETE RESOURCE confirmation dialog will appear.
- Click on CONFIRM in the DELETE RESOURCE dialog.
